Privacy policy

Your privacy matters. This policy explains what personal information Styled by Sonam collects, how it is used, who it may be shared with and the choices and rights you have.

Who I am

Styled by Sonam is a personal styling service run by Sonam Naylor, based in Warwickshire and London, United Kingdom. For the purposes of UK data protection law, including the UK GDPR and the Data Protection Act 2018, I am the controller of the personal information described in this policy.

The information I collect

I collect information that is relevant to responding to you and providing my services. This may include:

  • Contact details such as your name, email address and phone number, when you contact me, request a consultation or sign up for updates.
  • Styling information you choose to share, such as your style preferences, lifestyle, body measurements, clothing sizes and budget.
  • Photographs of you or your wardrobe that you choose to send for styling purposes.
  • Booking and payment information, such as session dates and records of payments. I do not store full card details.
  • Messages you send me by email or through social media.

Please only share information you are comfortable sharing. I do not ask for health or other sensitive personal information; please avoid including it unless it is relevant to the styling service.

How I use your information and my lawful reasons

I use your information for the purposes below. The lawful reason depends on the activity:

  • Enquiries and consultations: to reply to you and, if you ask me to, take steps towards providing a styling service. The lawful reason is taking steps at your request before entering into a contract.
  • Styling services: to plan and deliver the service we have agreed, including recommendations and follow-up support. The lawful reason is performing our contract.
  • Bookings, payments and business records: to manage bookings, invoices and business administration, and to meet legal and tax obligations. The lawful reasons are performing a contract and complying with legal obligations, as applicable.
  • Running my business: to respond to enquiries, manage appointments and maintain appropriate client records. My legitimate interests are operating and administering my styling business and providing a helpful service to prospective and existing clients.
  • Marketing emails: to send occasional updates about my journal or services, but only if you have actively signed up. The lawful reason is your consent. You can unsubscribe at any time.
  • Photographs and testimonials: to share photographs, before-and-after images or testimonials publicly only with your separate permission. The lawful reason is your consent, which you can withdraw at any time.

Do I have to provide my information?

You can choose what styling information, measurements or photographs you share with me. I only ask for information relevant to your enquiry or service. I need enough contact information to reply to you, and I may need certain information to arrange or provide a service you request. If you choose not to provide it, I may not be able to respond, arrange your booking or provide that part of the service.

Photographs and testimonials

I will not share photographs of you, before-and-after images or testimonials on my website or social media without your clear permission. You can withdraw your permission and ask me to remove material I have posted. If you withdraw permission, this will not affect use that took place before you withdrew it.

Who I share your information with

I do not sell your personal information. I may share relevant information with trusted providers who help me run Styled by Sonam. These may include my website host, Wix; my email provider; any booking or payment providers I use; and my accountant where needed for business or legal record-keeping.

I share only the information needed for each provider to perform its role. Depending on the service, a provider may process information on my behalf or handle some information under its own privacy notice. If you contact me through social media, that platform will also process information under its own privacy terms.

Where your information is stored

Some providers may process or store personal information outside the UK. Where this happens, I take steps to ensure that the transfer is protected by safeguards required under UK data protection law. You can email hello@styledbysonam.com for information about the providers involved and the safeguards used.

How long I keep your information

  • Enquiries that do not lead to a booking: up to 12 months.
  • Client records and styling notes: while we work together and for up to 2 years afterwards, so I can support you if you return.
  • Financial records: for as long as required by the tax and accounting rules that apply to my business. This is generally at least 5 years after the relevant Self Assessment filing deadline if I am self-employed, or 6 years from the end of the relevant financial year if the business is a company. I may need to keep records for longer in some circumstances, such as a late return or an ongoing tax enquiry.
  • Marketing list details: until you unsubscribe. I may keep a minimal record of your preference so I can respect your decision not to receive marketing.
  • Photographs and testimonials: until you withdraw your permission or ask me to remove them, unless I need to retain a copy for a legal reason.

This website and cookies

This website does not use advertising or tracking cookies, and I do not use analytics to follow you around the web. Wix may use essential cookies needed to keep the website secure and working. I provide information about these cookies even where consent is not required.

The site loads fonts from Google Fonts. This means your browser connects to Google’s servers and shares your IP address with Google. Google’s privacy information is available at policies.google.com/privacy.

If you follow a link to Instagram or another website, that service has its own privacy practices and policies. Please check those policies when you visit an external site.

Your rights

Depending on the circumstances and the lawful reason I rely on, you may have the right to ask for a copy of your information, correct it, request its deletion, restrict its use, or ask for certain information to be transferred to you or another organisation. You may also withdraw consent where I rely on consent. Withdrawing consent does not affect processing that took place before you withdrew it.

You can object to my use of your information where I rely on legitimate interests. You can also object at any time to the use of your information for direct marketing.

To exercise a right, email hello@styledbysonam.com. I will normally respond within one month. If the law allows more time because a request is complex or you have made several requests, I will let you know.

Keeping your information safe

I take care to protect your information. I use password-protected accounts and trusted services, limit access to people who need it to help run my business, and keep information only for as long as needed.

Automated decisions

I do not make decisions about you solely by automated means, including profiling, that have legal or similarly significant effects on you.

Making a complaint

If you are unhappy with how I have handled your information, please contact me first so I can try to put it right. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk or by phone on 0303 123 1113.

Changes to this policy

I may update this policy from time to time. The latest version will be available on this page, with the date it was last updated.
